Notification of Establishment of the INCITS Study Group on Vocabulary

 The INCITS Study Group on Vocabulary was established at the January 2004 meeting of the INCITS Executive Board with the following charter:
 
The INCITS Study Group on Vocabulary will study Information Technology vocabulary in the context of current developments in information technology, and will periodically report findings to INCITS, for eventual revision of ANSDIT.  


Mr. Saul Zaveler, of the United States Air Force, was asked to convene the formation meeting of the INCITS Study Group on Vocabulary.

 Call for Members of the INCITS Study Group on Vocabulary

 Participation in the standards activities of INCITS is open to all directly and materially affected interests.  Requests to establish membership on the INCITS Study Group on Vocabulary can be directed to Ms. Jennifer Garner (jgarner at itic.org).  There is no cost to participate on this study group.  All attendees at the formation meeting shall be considered voting members of the INCITS Study Group on Vocabulary.

Subject:    Revised Charter for the INCITS Study Group on Vocabulary

 
1.    Purpose: To study Information Technology vocabulary in the context of current developments in information technology, and to periodically report findings to INCITS, for eventual revision of ANSDIT.
 
 
 
1.1.    Vision: The SG will largely perform through electronic media in lieu of regularly scheduled meetings. Proposed terms/entries and their definitions and memberscomments will be tracked in a registry maintained by the SG however, made publicly accessible.
 
 
 
2.    Membership:
 
 
 
2.1.    The persons who were principal and alternate representatives to K5 at the time of its dissolution may elect to be members of the SG.

 2.2.    The SG will accept new members and terminate existing members based on the membership guidelines set forth in the RD-2.
 
 
 
3.    Officers:
 
 
 
3.1.    The office of Chair shall be elected by the EB. The duties of the Chair and Vice-Chair are discussed below in the paragraph 4 and will conform to those management duties set forth in the RD-2.

 3.2.    The Chair may appoint a volunteers for Vice Chair and Secretary.
 
 
 
4.    Concept of Operation:
 
 
 
4.1.    The SG shall operate largely through electronic media.

 4.2.    The SGs program of work shall have two phases recurring annually. These phases are collection and evaluation. The duration of these phases shall be determined by the voting membership each year and published by INCITS:
 
 
 
4.2.1.    Data collection phase. This phase shall consist of proposing and commenting on candidate terms or entries for a future edition of ANSDIT. Members may propose or comment on terms/entries at any time during this phase.
 
 
 
4.2.1.1.    Each term shall have the following attributes:
 
 
 
4.2.1.1.1.    Term/entry.
 4.2.1.1.2.    Current ANSDIT definition (if any).
 4.2.1.1.3.    Proposed definition 1. If quoted from copyrighted material, full attribution must be given.
 4.2.1.1.4.    Name and e-mail address of proposer for definition 1. Date proposed.
 4.2.1.1.5.    Comments on proposed definition 1 by commentator 1.
 4.2.1.1.6.    Name of commentator 1. Date of comment
 4.2.1.1.7.    Comments on proposed definition 1 by commentator 2
 4.2.1.1.8.    Name of commentator 2. - additional comments on definition 1 as members desire.
 4.2.1.1.9.    Proposed definition 2. If quoted from copyrighted material, full attribution must be given.
 4.2.1.1.10.  Name and e-mail address of proposer for definition 2. Date proposed.
 4.2.1.1.11.  comments for proposed definition 2 as above.
 4.2.1.1.12.  additional definitions as above, with comments as above.
 
 
 
4.2.1.2.    The electronic format for the proposed terms/entries and their definitions and comments are to be determined but will be in keeping with INCITS electronic distribution procedures. It may be a sort of Web-based forum or may be through e-mail. In the latter case the proposed term/entry and definitions and comments would be e-mailed to the Chair or Vice-Chair, or a volunteer appointed by the Chair, to collate the e-mail messages into Microsoft Word (or compatible) tables, which would be periodically e-mailed to the membership.

 4.2.1.3.    Representatives may electronically send the Chair proposed terms and definitions at any time during the data collection phase. The Chair will distribute all packages to the members and will give the members appropriate time to respond as to whether the proposed terms should be entered in the electronic repository of proposed terms
 
 
 
4.2.2.    Data evaluation phase. During this phase new terms will not be posted however, any new terms received will be rolled over to the following research, evaluate, and recommendation phase. The purpose of this phase is for the membership to decide on ;definitive; definitions for each proposed term/entry. The Chair will set a period for electronic voting on given terms, voting will be conducted as per RD-2 guidelines
 
 
 
4.2.3.    The Chair will post the votes for each term.
 
 
 
4.2.4.    If consensus (as defined in the RD-2) Refer to the voting table in RD-2 cannot be reached for a given term, it will remain in the ;data base; for consideration the next year. However, members (using the means identified in the RD-2) may propose a meeting to attempt to resolve the issue. The meeting shall be held only during the evaluation phase.
