X3T9 should provide a written description of what is expected of the 
organizer (no doubt Larry would be delighted to add some comments) along 
with a request for bid. The existing system of including conference room 
costs in with the hotel should be explained and the companies requested to 
bid according to the present system and give them the freedom to suggest an 
alternative in their response. 

For example, software packages are available which do complete tracking of 
attendance and nights. It is possible to consider signing up for every 
meeting for the year with a single phone call. Those of us who attend every 
meeting, every year, for the same days would find this a particular benefit. 

I know this kind of service can be provided, and there are probably many 
others that I do not know of which could be learned in a bidding process.
